267. A Full Breakdown Of My Scalable Coaching Business Model

 

Hello, hello, and welcome back to another episode of Behind the Business. Today, I am actually taking you behind my business and sharing with you very openly and transparently my exact spacious and scalable business model. This is something I’m extremely proud of, mostly because I find it really rare to find people that have exactly this. I know plenty, six, multi-six, seven, and even eight figure entrepreneurs, but it’s kind of rare that I find people that have a lot of money, but they also have a high profit margin, a really great personal life. They have a lot of time in their calendar. They really love their business. They love their clients, and it feels sustainable for them long-term. Like, it’s really rare to find all of those things being in place.

Now, I wanna set some healthy expectations right now. I’m not saying you’re gonna feel 100%, 100% of the time in your business. I don’t feel that way. I think that would be really unrealistic to actually share that because business has seasons, and as you grow, you evolve, and you outgrow certain things, and you need to make certain changes, for example, but for the most part, for majority of my business, which has been over six years at the time of recording this, I have loved my business model, and it has felt very sustainable. Like, I have never burnt out. I’ve never felt like quitting or pausing or slowing down or any of these things, and maybe that will happen one day, but so far, so good, and the way that I’ve structured it has meant that I have so much time for my personal life and my health and my relationships, and I’ve really set it up in a way that even when I do have children, that I’m able to do both. Sure, a few more things will need to be adjusted, but so much of it is not done by me, and so much is systemized and automated at this point that it really is doable in all seasons of life, and it will continue to evolve, of course, so I’m very excited to break this down for you because I really want you to know that by following this approach, that it’s gonna get you your time back. It’s gonna get you your energy back. It’s gonna allow you to impact more people, and it’s gonna allow you to enjoy the business side of things so much more.

I personally didn’t love marketing or strategy or sales when I first started my business. In fact, I freaking hated it. I would cry over it. I hated it that much, but then when I learned and educated myself on different ways of growing because there’s not just one rigid way, that’s where things really started to turn around, so when I first started my business, I was learning from a really masculine male, great guy, great success, but again, he had no personal life, and it was such a rigid process that it was really exhausting, and so even though that process worked, anything that you do long-term and you commit to and you master will work. It did work, but did it feel really enjoyable, like yes, I’m so excited to cold message 50 people today or 100 people today, and I’m so excited to post in 15 different groups and talk to all these people in groups? No, that’s so not what I wanna spend my time doing at all, and so I went on this mission to invest in so many other coaches to find what approach does feel good for me. I’ve learned from Instagram experts, marketing experts, Facebook experts, YouTube experts, podcast episodes, experts, sorry. I’ve invested in so many different people, and I’ve learned from really spiritual and feminine-led business owners and then really rigid and masculine coaches, and I have found that there is this sweet spot right in the middle, and that is what I teach, and even though it was annoying to invest so much money and time figuring out what approach works for me, the gift in it is that I now know all of the ways you can possibly grow because I’ve learned all of them. I’ve invested in experts for all of those areas so that for my clients that do wanna prioritise a certain area, I can actually help them with it because I’ve learned it, and there’s been a time where I have done it and did do well in it, right?

And I don’t like to assume that all of my clients are the same and that we all should just have the same approach. I’m not a fan of that. I don’t believe in that, and so I like to teach all of the ways and educate my clients on how to choose what is right for them, but today I’m sharing what is right for me, and a lot of my clients do model this because they wanna work with me to get the full process because I’m gonna share with you an overview and a generously transparent overview, but the reality is there is a lot behind the scenes that you could never see unless you were a client where you got all of the email templates, the SMS templates, the DM templates, the psychology and the strategy and the understanding of the events I run and how I do that and the different pitch options and all of the different processes. There’s so much that goes into each individual part, and I like to save my clients time by just giving them the script, the tool, the process, the template where need be so that they’re done. I just signed a new client last night and already she sent me so many things and I’m like, wow, you need some serious help. This is all such a mess, but how cool is that? I’ve just been like, here, copy and paste this, use this, this will fix this. I’ve been able to give her that because I’ve gone to the hours and hours and hours and hours and hours of effort and energy and time figuring it out, sorting it out and creating it so she can stop wasting money and get results faster, right? Because that’s what I’m here to do. That is the whole point.

So just wanted to share that to begin with so you have that context that I don’t just teach one approach and this is my approach and it’s built from the lens of simplicity, sustainability and scalability because they are my values and priorities when it comes to business because I wanna continue to grow it. I wanna help more people. I wanna make a bigger difference and I love the game of business and I feel so rewarded by it. The more money I make, the better my life gets in so many ways and it’s a representation of how many people I’m helping and the opportunities that I will be able to provide for my future kids and for myself and for my family and all of these things and being able to say yes to everything I want is so cool. Especially, I’m not a materialistic person at all but to be able to say yes to opportunities and experiences and travel and adventures is the coolest thing and my business provides all of that and so for me, I wanna continue to grow it so I can just continue to expand my generosity and all of the things with others and so for me, it needs to be scalable for that reason because if it’s not scalable, I eventually cap myself at how many people I can help and how much money I can make. It needs to be simple because my belief is that complexity fails and simplicity scales and so it needs to be simple so that it’s doable, I don’t get overwhelmed and I can follow through with it and so it’s scalable, it’s simple and it’s sustainable so that I can do it long-term forever, right? Like I wanna be able to do it in all seasons of my life and evolve and tweak where necessary, of course. I’ve got healthy expectations around that and I just, yeah, wanna be able to do that and so if it’s not simple, it’s not sustainable, it’s not scalable, it’s a no from me.

So just know that that’s the lens that I’m breaking down my funnel from. Now, the other thing you need to know is that there are four phases that go into a funnel, right? Everyone’s got a funnel. Some people’s are just shitter than others, better than others, faster than others, slower than others. Some people’s funnel just has a lot of holes in it because they don’t know what they’re doing and if that’s you, you totally need to hire a coach, right? But you gotta have a funnel and there’s four phases that go into a funnel. So visualise a funnel. It’s like big and broad at the top and then it gets smaller and smaller and smaller as you go down and at the bottom is where your clients are once they’ve turned into a client. So at the top, the first phase is attract. How we’re attracting leads, aka potential clients. Like how do they find you and how do you find them? Then we’ve got nurture. So once they’re in our world, how do you warm them up so that they’re ready to buy from you? And then we’ve got convert. Now that they’re ready to buy, how do you actually sell them into your programme? And the fourth and final phase of a funnel is deliver, which is actually delivering the service that you sold them into. So they’re the four phases and we wanna make sure that each phase works very well, otherwise it will affect all of the other areas and we wanna make sure that all phases are simple, sustainable and scalable, right? And so that is what I’ve ensured with all of the decisions I’ve made in my business.

The one piece of other context that I will give you before I share this is that this funnel is what I’ve got now, but this is not what it looked like when I first started my business. I was doing other things and different things and it’s evolved over time as I’ve evolved, as my skill sets have evolved, as I’ve had more money and as I’ve got more team, right? These things do matter, right? And so you gotta meet yourself with where you’re at and this is why working with a coach is so important so that you can be taught what approach is gonna work best for you and how you can get to a stage where you can afford team and systems and automations and whatever it might be. This doesn’t have to be over complicated, like it’s not complicated for me and I don’t really believe my business has ever been complicated. It’s just even more scalable and hands-off for me now than it was before because I’ve simply got the ability to invest in that.

All right, so that’s what you need to know and yeah, I’m gonna give you the overview and if you want the full how-to of every living piece of this and you wanna master all four of these, you gotta message me and we can chat about working together. So let me start with Attract. There are three ways that you can attract your audience. We’ve got collaboration marketing, organic marketing and paid marketing. I’m not gonna go too deep into all three of these right now. I’ve done that in another episode but what I will tell you is majority of our leads come from paid traffic through Facebook ads these days and then organic marketing like referrals, posting content, my YouTube, my podcast, all that sort of thing but for the most part, we spend a lot of money on ads so most of our leads actually come from Facebook ads today.

So that is how I’m attracting leads. So organic marketing is time consuming and a lot of effort. Paid marketing, you need the skillset but it’s not time consuming. Like you just, once you’ve got the data right, you just spend more money on ads then you get more leads without doing any work. So I’ll be asleep and I’m generating leads. Even better for me, I’ve got an ads manager doing this for me so I’m not even doing it. So I invest little to no time when it comes to attracting leads and yet I have thousands of them coming into my business every single month at this point, right? And we can just keep spending more to get more leads. It’s as simple as that more or less and the only thing that would stop us from doing so is if one of the other areas of my funnel wasn’t dialled in working or scalable, right? Otherwise it would be a waste.

So that’s that. So really the only effort I put into organic marketing is I create a podcast episode every week which is what this is but I film it so it goes onto YouTube as well but it’s just one piece of effort like half an hour and I do them all in bulk so I’m not even doing it every week. I might record four in a day and then I don’t have to think about my podcast for a month and I don’t edit it, I don’t schedule it, I don’t clip it, I don’t do any of that. My VA does all of that. So I do one of those on average a week and then I post five times a week and I use AI and repurpose content and leverage my long form content and turn it into short form content and my VA does all that for me as well. So I don’t really spend much time when it comes to attracting my audience which was what makes it really scalable. The ads piece and then the fact that I’ve delegated and repurpose a lot as well. So that is that I probably spend on average. Let’s just be generous here and say two hours a week even though it’s potentially less than that but let me just say two hours a week.

So that is that at the top of the funnel. I also collaborate with other people like I’ll interview people on my podcast but that’s every now and again it’s not like on a weekly basis. So yeah, attract ads is the most scalable there. Then we move on to nurturing the leads we’ve just attracted. What I do is the Facebook ad I run like promotes a free workshop of mine and I run a free workshop. Now I actually run the same workshop every single month and we actually run this workshop almost weekly now like maybe three times a month at this point we’re doing it. This evolves all the time. Sometimes it’s a bit less. We might even add a paid workshop in the mix there but up until like for the last six to eight months or something like that I’ve just been running the same workshop and we were doing it once a month and now we’re actually doing it once a week because we have so many leads.

And so when it comes to nurturing I get them to register for the workshop. They then receive DMs and emails from us. A lot of that is automated or delegated. And then so really my only job when it comes to nurturing my audience is to simply run that event and the event is an hour and a half long. So I’m spending an hour and a half a week let’s say on nurturing my audience. Obviously that’s probably not really realistic. I definitely spend more than that because I’m in sending voice messages and DMs with people and that would take let’s just be let’s just say an hour a day. So let’s just say on average I spend seven hours a week nurturing like that’s totally fine. This would vary week to week, right? Sometimes more, sometimes less but that’s roughly what I spend my time doing. Very scalable. It’s the same workshop and I run it every week like if you can’t find an hour and a half in your week like you have a serious problem when it comes to growing your business. So for me it’s like that’s very scalable.

So attract is scalable because it’s ads and I delegated that. Nurture is scalable because a lot is automated here but I’m just running the same event so I’m not having to create new scripts, new pitches, new slides, new this, new that. It’s literally all the same thing every time. Then when it comes to convert after the event I invite people to book a call with us and then people book a call. So at one point this was not scalable because I was doing all of the calls. So eventually my calendar did fill with calls which was a good problem to have but I wanted my time back. So I’ve now hired a sales closer who does the calls with me and she does more of them at this point and if I need to hire another sales closer I will but we’re also experimenting at the moment with actually closing without a sales call required which has started to happen which is really, really cool. So I have no doubt as we continue to refine and master that process that that will continue to happen which will make the convert part more scalable but at the moment I would still say it’s scalable for us because it’s not just me doing it and we’re selling sometimes with an offer doc, right? If you would like to see that offer doc just message me the word offer doc on Instagram and I’ll send it to you but let’s just say someone books a call they’re then sent through a pre-call experience which gets them to watch a 10 minute video so they can like know and trust me more, get to know me. They get a whole bunch of emails and reminders ready before the call. They then have the call and then ideally they convert into a client and then the service that they’re being delivered into is a group programme.

There is one-on-one elements but I’ve delegated that to a support coach so she’ll do the one-on-one call when people join and she supports them one-on-one throughout the whole time and then they’ve got my support but in a group setting all throughout their time as well. I do have a tier two of scale school which does have one-on-one add-on support but I’m mindful of who I take on and how many I take on and there’s boundaries within what that one-on-one support looks like as well but I am very generous there. So that is scalable because I would simply close the doors to that tier two if I actually reached a capacity or no longer desired to do that but right now I love it and I’ve got more than enough time to do it, right? So in the deliver section, very scalable because it is a group programme and the one-on-one aspect is already delegated.

So as you can see with Attract, ads is very, very scalable. With Nurture, running the same event once a week or once a month is very scalable. When it comes to converting, selling in the DMs or someone else selling on the call for you, very scalable and then with Delivery, doing group coaching instead of one-on-one coaching is very, very scalable. So all four phases are dialled in and scalable but you could just start doing this today but the reality is if your landing page is shit, your ads won’t work and it’ll be an expensive cost per lead. You know, the client that just started working me yesterday, she had had 100 people view her page and no one register and I could see immediately why that was and I gave her all this feedback and she’s implementing that right away now, now that she’s a client and so it’s like it’s not as simple of just run ads. It’s like you have to run great ads and be running it to something great as well. So you got to get that right.

Same with organic marketing. You could do it all day every day but if your marketing, your messaging is unclear, vague, blasé and shit, like no one’s gonna buy. So it’s one thing to like do all of this and it’s another thing to do it really well. So that’s that and then same with the event. Most people get their events wrong and wonder why no one books calls and no one shows up and no one stays the whole time. Like there’s so many things strategically and psychologically that need to be in place there in order for that to happen and I give my clients all of that step-by-step process. Same with sales calls. It’s like some people don’t really convert very well on sales calls because they don’t have the sales skills and you’ve got to have that in order to convert and then same with delivery. If your offer sucks, it’s not priced and packaged and positioned properly. Like there’s five components that go into making an offer, go from good to great and a no-brainer. Like if that’s not in place, then people aren’t gonna buy.

So all four phases not only need to be done and simple and sustainable and scalable but it also needs to be mastered and work really well and that’s really where I come in. So I can help you and tell you do this but doing it well, having feedback on that, thorough auditing on that and understanding how to do those things to the best of your abilities to save a whole heap of time is like a whole other ballgame.

So that is my spacious scaling business model that makes me $100,000 plus per month with ease like way more than that actually and it’s just gonna continue to grow and it’s because each of the four phases are working and they’re scalable.
